Article 1 – Applicability
These terms and conditions apply to all training activities (courses, workshops, training days, conferences, guidance, and consultancy) organized by ETCB.
By registering via the website or by email, the client agrees to these terms and conditions. These terms, together with any custom agreements, constitute the entire agreement between ETCB and the client.
Additions or changes to these terms are only valid if agreed upon in writing.
Article 2 – Formation of the agreement
The agreement between ETCB and the client is concluded once ETCB has confirmed the registration in writing or by issuing an invoice.
Although our trainings are intended for professional participants, ETCB offers a 14-day cancellation period as a courtesy, unless the course starts within 28 days of registration.
Cancellations during this period must be submitted in writing via registered mail or email.
Article 3 – Cancellation by participant/client
Cancellation fees
Cancellations must be submitted in writing (via email or post). The cancellation date is determined by the date of receipt.
The following cancellation fees apply:

Cancellation within 14 days before the course: 100% of the course fee.

Cancellation between 14 and 21 days before the course: 75% of the course fee.

Cancellation between 21 and 28 days before the course: €50 administration fee.

Cancellation more than 28 days before the course: no cancellation fee.
Replacement by another participant
Replacement by another participant is allowed at no extra cost, provided it is approved in writing by ETCB in advance.
Article 4 – Cancellation by ETCB
ETCB reserves the right to cancel a course up to 14 days before the start date, for example due to insufficient registrations. In such cases, any payments already made will be refunded in full.
If a themed training is canceled due to insufficient participation, ETCB may offer alternative dates or solutions. If no agreement is reached, the client is entitled to a full refund.
Article 5 – Fees and costs of the assignment
ETCB’s fees are published on the website. ETCB reserves the right to adjust prices twice a year (on January 1st and August 1st).
After publication, the new prices apply to future assignments. For already issued quotations, the stated prices remain valid during the quotation's validity period, unless otherwise agreed.
Custom quotations are valid for 30 days unless stated otherwise.
All listed prices are excluding VAT, unless stated otherwise. Travel, accommodation, and other direct costs may be invoiced separately if applicable and agreed in advance.
Article 6 – Payment
ETCB issues invoices after the agreement has been concluded or, in the case of custom training, after completion. For multi-day training programs, interim invoices may be issued.
Invoices must be paid within 14 days of receipt, unless otherwise agreed in writing.
If payment is not made on time, a reminder will be sent. If payment still fails, ETCB is entitled to charge statutory interest and collection costs in accordance with the Dutch Collection Costs Act (WIK).
ETCB reserves the right to block participation in training or access to materials if payment is not received on time.
Article 7 – Default of payment
If the client fails to pay after a reminder within the given term, they are in default, and ETCB may suspend further services until payment is made.
ETCB is entitled to charge extrajudicial collection costs in accordance with the Dutch Collection Costs Act (WIK), with a minimum of €40. The amount of these costs is calculated using the official WIK scale.
In case of non-payment, ETCB reserves the right to take legal action, with all legal and extrajudicial costs to be borne by the client.
Article 8 – Copyright on course material and recording policy
ETCB retains the copyright on all provided course materials (excluding commercial books), both in physical and digital form.
It is not permitted to record training sessions or other course materials without permission from ETCB. Violations may result in removal from the course without a refund.
Article 9 – Refunds
If a cancellation results in a (partial) refund, the amount will only be transferred to the party that made the original payment. This is to prevent fraud and ensure administrative accuracy.
Article 10 – Data protection
ETCB processes personal data solely for the purpose of executing the agreement, such as conducting the training, communicating with participants, and handling administration.
Data will not be shared with third parties unless necessary for the execution of the training or required by law.

Article 11 – Unforeseen circumstances
In cases not covered by these general terms and conditions, the management of ETCB will decide.
